Award Setup

Award setup is completed during implementation to make sure timesheets calculate correctly for each pay group, penalty condition, and overtime rule.

Process

  1. After your signed agreement is received, your account is assigned to an implementation specialist.
  2. Your specialist contacts you to discuss your business setup, awards, and payroll requirements.
  3. You receive an award template spreadsheet (Excel) to complete.
  4. Fill in the template using your award, EA, or IFA conditions.
  5. Return the completed template to your implementation specialist or email it to awards@wageloch.com.au.
  6. Your specialist reviews the template and contacts you if clarification is needed.
  7. Award rules are configured in your environment before integration and payroll testing.

What information do I include?

Include your pay groups and rate behaviour across ordinary hours, penalties, public holidays, and overtime.

Typical pay group columns include Casual, Permanent, and Salary. Typical rows include Monday-Friday, Saturday, Sunday, Public Holidays, and Overtime.

Percentages such as 100%, 125%, and 150% are examples only. Enter values that match your actual industrial instrument.

You can add extra rows and columns when you have multiple classifications, departments, or special conditions.

After rate rows, include the overtime trigger rules.

  • Does overtime begin after weekly or fortnightly thresholds (for example 38 hours/week or 76 hours/fortnight)?
  • Does overtime also apply after daily shift-length thresholds?
  • What overtime multipliers apply (for example first 2 hours at 150%, then 200%)?

These details are required so timesheets can calculate correctly, reduce manual payroll edits, and improve pay-run accuracy.

Rules can be adjusted later if testing identifies a mismatch.

During this process it is important to be aware of differences between:

Full-time employment vs. Salary

  • Permanent full-time employees are paid for all hours they work, are entitled to penalty rates and overtime.
  • Salaried employees only ever get paid their contracted hours; no more, no less, are not entitled to penalty rates or overtime.

Penalty rates vs. Overtime

  • Penalty rates are a multiplier of the base rate, which attracts leave accruals (for permanent and salary) and superannuation.
  • Overtime is exempt from superannuation and does not accrue leave.
