Onboarding

Digital onboarding lets new employees submit key setup details before their first shift. This helps you complete staff setup faster and keeps records consistent.

Before you start

  • Confirm onboarding is enabled in settings.
  • Confirm the onboarding notification email is correct.
  • Confirm your default superannuation fund is configured.

If new employees will submit details themselves, send onboarding links during staff creation.

Enable onboarding

  1. Open Settings > Staff > Onboarding.
  2. Enable Onboard new employees by default.
  3. Enter the Onboarding admin email address for completion notifications.
  4. Set your default superannuation fund if prompted.
  5. Click Done.

Show Settings > Staff > Onboarding with Onboard new employees by default enabled, an onboarding admin email entered, and default superannuation configured.

  1. Open Staff.
  2. Select Create.
  3. Enter the employee's first name, surname, and email address.
  4. Ensure Send Onboarding Link is ticked.
  5. Click Done.

You can complete the rest of the Staff Information card now or after onboarding is submitted.

Check onboarding progress

Use the staff list filters to track onboarding status.

  1. Open Staff.
  2. Open the status filter (for example ALL).
  3. Switch between Not Onboarded and Onboarding.

Status meaning:

  • Not Onboarded: onboarding link was not sent from the staff record.
  • Onboarding: onboarding has started but is not yet complete.

If notification emails are enabled, you should also receive confirmation when onboarding is completed.
