Zero off YTD payroll before migrating to Wageloch
If you're moving to Wageloch Payroll partway through a financial year, your previous payroll system has already reported some year-to-date (YTD) figures to the ATO through Single Touch Payroll (STP). Those figures must be cleared to zero with the ATO before Wageloch imports the same YTD balances — otherwise the ATO receives the same amounts twice.
Before you start
This applies whenever you migrate to Wageloch Payroll partway through a financial year that your previous system has already reported through STP. It doesn't apply if you're starting a new payroll from 1 July.
Why the zero-off is required
When you change payroll systems mid-year, the ATO already holds YTD figures reported by your previous system. Wageloch also needs those YTD balances so payslips, payroll records, and future STP reports stay accurate after migration.
If your previous system keeps reporting those figures while Wageloch imports and reports the same balances, the ATO receives the same amounts twice. Employee income, PAYG withholding, superannuation, and other payroll figures can appear overstated as a result.
The order of these steps matters
Your previous payroll system must complete and report the YTD zero-off before your balances are migrated into Wageloch. If migration happens first, or the original balances aren't properly cleared, duplicate YTD figures may be reported to the ATO.
Required process
- Your previous payroll system completes the zero-off. An unscheduled pay run is processed using negative YTD figures for every employee who has had payroll reported during the current financial year, including employees who have since been terminated.
- The negative pay run is submitted through STP. This reports the reversal so the balances held against your previous payroll system are brought back to $0 with the ATO. Confirm the zero-off has lodged successfully before migration proceeds.
- Wageloch imports the correct YTD balances. Once the zero-off is confirmed, Wageloch uses the YTD payroll reports you've already supplied to import each employee's correct year-to-date balances.
- Payroll and STP reporting continue through Wageloch. After migration, future pay runs and STP submissions go through Wageloch, with the correct YTD position carried forward.
